End-to-end event management and production for a multi-day corporate leadership conference in Dubai — venue management, AV production, delegate experience design, and live session delivery across plenary and breakout environments.
Corporate leadership conferences in Dubai bring together senior stakeholders from across an organisation — often spanning multiple countries — for a programme that combines strategic sessions, executive presentations, and social engagement. The production demands are significant: the environment must match the seniority of the audience, the technical delivery must be flawless, and the logistics must run without visible effort.
M&M Group was appointed to manage and produce a multi-day corporate leadership conference, covering the full event management and production scope from pre-event planning through to post-event reporting.
What this project required
A production approach that elevated the physical environment to match the programme ambition — precise staging, reliable AV infrastructure, seamless session management, and a delegate experience that ran without friction across multiple days and multiple room configurations.
Venue and environment
The conference used a combination of a large plenary hall and multiple breakout spaces across a single venue. M&M Group’s pre-production team worked closely with the venue technical team to map each space, identify infrastructure constraints, and develop a production design that worked within the venue’s specifications while delivering the visual standard required.
The main stage featured a large curved screen backdrop, tiered presenter positions, and a speaker support system that allowed executives to present with full teleprompter and confidence monitor support. Breakout rooms were configured for different session formats — workshop, panel, and presentation — with standardised technical setups that allowed sessions to run in parallel without technical support conflicts.
Creative environment
The visual design programme covered the full conference environment: stage and set design, directional signage, delegate registration area branding, and digital content across all display surfaces. The design language was consistent with the client’s corporate identity while creating a distinct conference environment.
Live session management
Multi-day conferences require moment-to-moment programme management throughout the live event. M&M Group’s production team managed the full running order, coordinating between speakers, session hosts, AV operators, and venue operations across all days.
A dedicated show-caller operated each session, with a support team managing breakout room transitions, AV cue execution, and speaker management. Pre-event rehearsals were scheduled for all main stage presenters to validate the technical setup and provide speaker confidence on the staging environment.
Delegate experience
Beyond the technical delivery, M&M Group managed the broader delegate experience — registration, wayfinding, catering coordination timing, and end-of-day social event production. A dedicated guest services team was on site throughout to handle delegate queries and manage the flow between sessions.
